Privacy Policy
This policy applies from 15 August 2026 and replaces all earlier versions.
1. Introduction
newlens limited is the controller of personal data collected through this website. We are registered with the Information Commissioner's Office under registration ZC095203. This policy explains what we collect, why, where it goes and your rights. It is written to be read, not skimmed past.
2. What we collect
When you contact us or book a call: your name, business email address, business name and anything you include in your message or the booking questions.
When you use the free tools: the figures and answers you enter into the "Admin Tax" Calculator or the AI Readiness Assessment, and the email address you provide to receive your report.
When you buy a session: booking details and payment confirmation. Card data is handled by Stripe and never reaches us.
Automatically: technical data needed to serve and protect the site, such as IP address and request information, and, only with your consent, analytics data about how the site is used.
3. How we use it
To respond to your enquiry, deliver the report or session you asked for, follow up on that enquiry, run and protect the website, and understand how the site is used so we can improve it. We do not sell personal data, and we do not send marketing you have not asked about.
4. Lawful bases
Contract: handling your booking or purchase. Legitimate interests: responding to business enquiries, following up on a report you requested, and site security. Consent: analytics cookies, which load only if you accept them, and any ongoing marketing, which you can withdraw at any time.
5. Where your data goes
Enquiries and tool submissions are processed on newlens's own automation platform, self-hosted on server infrastructure controlled by newlens, and flow into the services below. We use a small set of carefully chosen processors:
- Vercel hosts the website and processes technical request data.
- Cloudflare provides security and rate limiting, processing IP addresses and request metadata.
- Calendly handles call booking: your name, email, chosen time and your answers to the booking questions.
- Stripe processes payments. We never hold card data.
- HubSpot is our CRM and holds contact details, enquiry records and related history.
- Resend delivers transactional email, such as your calculator report.
- Google Drive archives generated report PDFs for business record keeping.
- Google Analytics 4, only with your consent, measures how the site is used.
We do not currently use advertising or remarketing tools. If that changes, this policy will be updated before any such tool is used.
6. Client engagement data
Data we process in delivering services to clients, such as data within a client's own systems during an automation engagement, is governed by the signed agreement and data processing agreement for that engagement, not by this policy. Under that architecture, personal data processed by a client's automations is not transferred to or stored on systems newlens owns, controls or contracts.
7. Retention
We keep personal data only as long as needed for the purpose it was collected, and for any legal or accounting requirement. Enquiries that go nowhere are deleted in routine housekeeping; records connected to a purchase or engagement are kept for the statutory periods that apply to business records.
8. Cookies and analytics
Essential technologies make the site work and load without asking. Google Analytics 4 loads only if you choose Accept in the cookie banner; choose Decline and it does not load. You can change your choice at any time using the Cookie choices link in the footer or by clearing your browser storage for newlens.uk.
9. Your rights
You have the right to access your personal data, to have it corrected, to have it erased in certain circumstances, to restrict or object to processing, and to data portability. To exercise any of them, email info@newlens.uk. We respond within one month.
10. Complaints
If you are unhappy with how we have handled your data, contact us first and we will try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk.
